Jefferson College Internal Grant Program: Research Application

PURPOSE: The purpose of the Jefferson College Scholarly Development Internal Grant Program is to enrich the academic environment of Jefferson College by providing faculty and staff with financial support for research and other scholarly activities.  These include research and scholarly activities such as: original research, scholarship that improves student outcomes and/or scholarly projects that increase, improve or create community partnerships. 

ELIGIBILITY: All full or regular part-time (minimum of 24 hours per week) Jefferson College faculty and staff.

APPLICATION DEADLINES: September 15th, November 15th, January 15th, March 15th.

Applications received after 5:00 PM on the stated deadline will be returned unread. In cases where the 15th falls on a weekend, applications will be due the first business day after.

LEVEL OF SUPPORT: Award Ceiling: $4,000.  When research involves travel, applicants are expected to reduce travel budgets where possible.  Per Diem rates for hotels, meals and incidentals will be determined using the U.S. General Services Administration Per Diem rates found here: http://www.gsa.gov/portal/category/100120.  Please contact the Jefferson College Office of Research and Development for assistance determining the Per Diem rates for your area of travel.  Please note that expenses exceeding either the award amount or stated Per Diem for the area of travel must be covered by the employee and/or his/her departmental budget, with approval by the Department Chair and/or Program Director.

ALLOWABLE EXPENSES: This grant program provides funds for expenses such as supplies, assessment instruments, software, reference materials, minor equipment, instructional materials, data entry, stipends for a student worker, printing and publication fees, and other appropriate uses on a case-by-case basis.  Although student assistant wages can be a part of the budget, the faculty member must be the Principal Investigator.  Summer salary support for 9 or 10-month contract faculty is an allowable expense, but is only eligible for reimbursement for work performed during non-contract months. Salary support is based on faculty/staff’s standard hourly wage for contract 9 or 10 months.

NO FUNDS PROVIDED FOR:

  • Capital equipment
  • Faculty salary during 9, 10, or 12-month contract period
  • 12-month staff salary, and/or
  • Expenses incurred prior to the grant award

While the same line of inquiry may be funded more than once, additional funding in multiple cycles/years for the same project will not be reviewed for funding.  Therefore, if prior funding has already been received through an internal grant, the requestor must provide sufficient rationale for additional funding and explain how the original line of inquiry has been modified or augmented.

All activity and publications must be able to be attributed to Jefferson College.

REPORTING REQUIREMENTS

The recipient is responsible for the following:

  1. A written document summarizing how the objectives of the grant or presentation were met, due to Amanda Ellinger (AMEllinger@jchs.edu) within 30 days of the completion date stated in the letter of award.
  2. A financial sheet detailing how the funds were used.
  3. An oral presentation or poster presentation to the College community, highlighting the important elements of the study/project, to be presented in the academic year following the grant award.

Failure to adhere to the reporting requirements listed above may prevent future funds from being awarded until all reporting has been received.

ACKNOWLEDGEMENT: In poster presentations, publications and/or funding proposals acknowledgement of funding support by Jefferson College Faculty and Staff Development Grant.

COMPLIANCE:  Use of Human Subjects requires Institutional Review Board (IRB) approval prior to the start of research projects. No funds will be released to the researcher until notice of IRB approval or exemption from the Carilion Clinic IRB has been received by the Jefferson College Office of Research and Development.

NO COST EXTENSION: A one-time no cost extension may be granted on a case-by-case basis when factors outside of the faculty member’s control have prohibited timely completion of the proposed activity. Written request for extension of the project period to complete the scope of work must be submitted to the Dean of the College 30 days prior to the end of the current project period for review and approval.  The extension may not exceed six months. No additional funding may be requested, but remaining funds can be utilized to complete the project as originally requested. 

REVIEW CRITERIA:  Proposals will be evaluated and scored using the tool included in the Research Grant Application.  Submissions are expected to address the review criteria listed. Please note that funding may be reduced or withheld for applications receiving low scores during evaluation.  Committee feedback and evaluations will be returned to the Project Leader to provide guidance to faculty in the submission of future grant applications.
